By Le Grand Peate — 15 years on the road, 1,150,000 km across Canada, 287 interprovincial moves
Coast to coast, my friend!
After 287 interprovincial moves and over a million kilometers crossing this beautiful country, I've learned something important: the quote you receive is rarely the final number you'll pay.
Not because moving companies are dishonest—most aren't. But because long-distance moving has variables that are hard to predict, and costs that first-time cross-country movers simply don't know to expect.
I've seen families budget $8,000 and end up paying $12,000. I've also seen smart planners budget $10,000 and pay exactly that. The difference? Knowledge.
Let me share what I've learned so you can be in the second group.
We take the time it needs—including the time to plan properly.
The Anatomy of a Long-Distance Moving Quote
Before we talk about hidden costs, let's understand what a standard quote includes:
Typically Included:
- Base transportation (weight × distance)
- Loading and unloading labor
- Basic cargo protection (usually $8 per pound with Pro Action/GCVL)
- Standard equipment (dollies, straps, blankets)
- Fuel surcharges (usually built into the rate)
Often NOT Included:
This is where surprises happen. Let's break them down.
Hidden Cost #1: Weight Surprises
The Problem
Long-distance moves are priced primarily by weight. Most companies provide estimates based on a visual survey or video walkthrough—but estimates can be wrong.
Common scenarios:
- You forgot about the garage, basement, or storage unit
- Items are heavier than they look (books, tools, exercise equipment)
- You acquired more stuff between the quote and moving day
- The estimator was inexperienced or rushed
The Cost
If your shipment weighs more than estimated, you pay more. Period.
Example:
- Estimated weight: 8,000 lbs at $0.75/lb = $6,000
- Actual weight: 10,500 lbs at $0.75/lb = $7,875
- Surprise cost: $1,875
How to Avoid It
- Insist on an in-home survey (or thorough video survey) rather than a phone estimate
- Open every closet, drawer, and storage area during the survey
- Be honest about what you're moving—hiding items doesn't help
- Declutter before the survey, not after
- Ask about weight guarantees—some companies offer binding estimates
Hidden Cost #2: Access Fees
The Problem
Not all addresses are created equal. If the truck can't get close to your door, you'll pay extra.
Types of Access Fees:
| Situation | Typical Cost | Why It Exists |
|---|---|---|
| Long carry (75+ feet) | $75-$150+ | Extra labor and time |
| Stairs (no elevator) | $50-$100 per flight | Physical strain, slower process |
| Elevator-only buildings | $50-$150 | Waiting time, limited capacity |
| Shuttle service | $300-$800+ | Second vehicle, double handling |
| Narrow streets/parking | $100-$300 | Permits, logistics |
How to Avoid It
- Tell your moving company EVERYTHING about both locations
- Measure elevator dimensions if applicable
- Check parking/access at both addresses before moving day
- Ask specifically about access fees during the quote process
- Get it in writing—if they saw the access and didn't mention fees, hold them to it
Hidden Cost #3: Packing Materials and Services
The Problem
Many quotes assume you'll pack yourself. If you need packing services—or even just materials—costs add up fast.
Typical Costs:
| Item/Service | Cost Range |
|---|---|
| Professional packing (full service) | $300-$1,000+ |
| Partial packing (kitchen/fragiles only) | $150-$500 |
| Boxes (kit for 3-bedroom) | $100-$250 |
| Specialty boxes (wardrobe, TV, mirror) | $15-$50 each |
| Packing paper and bubble wrap | $50-$150 |
Scotty McBox always says: "The cost of proper packing materials is nothing compared to the cost of replacing broken items." He's right.
Hidden Cost #4: Storage-in-Transit
The Problem
Sometimes your move-out and move-in dates don't align perfectly. Your belongings need somewhere to go.
Typical Costs:
| Storage Duration | Approximate Cost |
|---|---|
| 1-7 days | Often included or minimal |
| 1-2 weeks | $150-$400 |
| 1 month | $300-$800 |
| 2+ months | $250-$600/month |
Sheldon Storage handles our transit storage at Pro Action Transport. If you need to store between homes, we've got you covered—and we'll be upfront about costs.
Hidden Cost #5: Insurance and Valuation Gaps
The Problem
Basic cargo protection varies widely between moving companies. Industry minimum is often just $0.60 per pound—which is almost nothing.
Example with industry minimum ($0.60/lb):
- Your 50-inch TV weighs 40 lbs
- Basic protection: 40 × $0.60 = $24
- Replacement cost: $800+
- Gap: $776 out of pocket
The Pro Action/GCVL difference:
At Pro Action Transport, our basic protection through the Great Canadian Van Lines network is $8 per pound—significantly better than industry standard.
Same example with our protection ($8/lb):
- Your 50-inch TV weighs 40 lbs
- Basic protection: 40 × $8 = $320
- Replacement cost: $800+
- Gap: $480 (still a gap, but much smaller)
Types of Protection:
| Type | What It Covers | Typical Cost |
|---|---|---|
| Industry Minimum | $0.60/lb per item | Usually included |
| Pro Action/GCVL Basic | $8/lb per item | Included with us |
| Full Value Protection | Repair, replace, or cash settlement | $100-$500+ |
| Third-Party Insurance | Varies by policy | $100-$400+ |
Important: We use the term "cargo protection," not insurance. Moving companies aren't insurance providers.
Hidden Cost #6: Timing and Seasonal Pricing
The Problem
When you move matters—a lot.
| Factor | Impact |
|---|---|
| Summer (May-September) | 20-30% higher rates |
| Month-end | Higher demand, less flexibility |
| July 1 (Quebec) | Premium pricing, limited availability |
| Holiday weekends | Often unavailable or premium |
The same move could cost $8,000 in February or $10,500 in July.
Hidden Cost #7: Specialty Items
| Item | Typical Extra Cost | Why |
|---|---|---|
| Piano (upright) | $300-$600 | Weight, fragility, equipment |
| Piano (grand) | $500-$1,500+ | Specialized handling |
| Pool table | $300-$600 | Disassembly/reassembly required |
| Hot tub | $500-$1,500+ | Often requires crane, specialists |
| Gun safe | $200-$500 | Extreme weight |
Hidden Cost #8: Delivery Window and Waiting Fees
| Situation | Cost |
|---|---|
| Waiting time (crew delayed) | $50-$100/hour |
| Redelivery (come back another day) | $200-$500+ |
| Storage until you're ready | $100-$400+ |
| Guaranteed delivery date | $200-$500+ premium |
Hidden Cost #9: Tips and Gratuities
| Move Type | Suggested Tip Per Mover |
|---|---|
| Local move | $20-$50 each |
| Long-distance (loading crew) | $20-$40 each |
| Long-distance (delivery crew) | $20-$40 each |
| Exceptional service | $50-$100 each |
Honest truth: My teams work hard—12-hour days, heavy lifting, careful handling of your memories. A tip isn't expected, but it's always appreciated.
Hidden Cost #10: DIY Doesn't Mean Free
| Item | Cost Range |
|---|---|
| Truck rental (one-way long distance) | $1,500-$4,000+ |
| Fuel (moving trucks get 6-10 mpg) | $500-$1,500+ |
| Insurance for rental | $100-$300 |
| Hotels (multi-day drive) | $100-$300/night |
| Meals on the road | $50-$100/day |
| Time off work | ??? |
That's the beauty of Canada—but driving a 26-foot truck through the Rockies in November isn't most people's idea of fun. I do it because I love it. You don't have to.
The Complete Hidden Costs Checklist
Must-Ask Questions Before Booking:
- ☐ Is this a binding or non-binding estimate?
- ☐ What's included in the base quote?
- ☐ What are the access fees for both locations?
- ☐ Are packing materials included?
- ☐ What's the cost for professional packing?
- ☐ Is storage-in-transit included? How many days?
- ☐ What protection options are available and at what cost?
- ☐ How do you handle specialty items?
- ☐ What's the delivery window?
- ☐ What happens if I need to change dates?
The Bottom Line
Long-distance moving will always have some variables. Weather happens. Dates shift. Life is unpredictable.
But financial surprises? Those are avoidable.
Ask questions. Get everything in writing. Build a buffer into your budget. And choose a moving company that treats transparency as a core value—not an inconvenience.
After 1,150,000 kilometers, I've learned that the best move isn't always the cheapest quote. It's the one with no surprises at the end.
Coast to coast, my friend. Let's do this right.
